Financial Policy

Patient Financial Policy

Insurance:

Most health insurance plans cover mental health visits. Refer to your health insurance booklet for details about your specific plan’s eligibility and benefits. If you have any questions about your coverage, please contact your plan administrator or insurance company.

If your clinician is part of your insurance company’s mental health network, we will file a claim for benefits to be paid directly to Holistic Mental Healthcare. We require a copy of your insurance card and signed paperwork before we can file a claim. Any disputes regarding copays, deductibles, or benefit levels must be resolved between you and your insurance company, as Holistic Mental Healthcare will not get involved. Copays, estimated deductibles, and balances are due at each visit. Arrangements can be made in advance by speaking with the Billing Manager. You are responsible for informing our office of any changes to your insurance coverage during treatment. Failure to provide updated information at the time of service may result in out-of-pocket expenses. For insurance questions, contact our Billing office at 913-415-8890.

If your clinician is not part of your insurance company’s mental health network or if you choose not to use your insurance benefits, full payment is expected at the time of service. We can provide a Visit Summary for you to submit to your insurance company for reimbursement.

Holistic Mental Healthcare will start offering E-Statements for balances. Contact the front office staff to sign up for this service.

No Show/Late Cancellation Policy:

We have a 24-hour cancellation policy. If you cancel an appointment with less than 24 hours’ notice or miss an appointment, you may be charged up to $85. These fees must be paid at your next appointment. Automated reminder calls from Holistic Mental Healthcare are provided as a courtesy.

Financially Responsible Party:

We understand that many children live in two separate households. While parents may have an agreement about paying for health-related appointments, we cannot mediate this process. The parent who signs the paperwork at the initial visit will be considered the responsible party for all client balances.

EAP (Employee Assistance Program) Clients:

If you have benefits through an Employee Assistance Program and your clinician participates in that program, we will bill your authorized visits to the EAP for you. Effective January 1, 2024, you must bring your EAP benefit information and authorization to your initial appointment for Holistic Mental Healthcare to bill your EAP for that visit. If you discover an EAP benefit during treatment, we will begin billing your EAP at your next session. We cannot bill the EAP for sessions completed before we were informed of your EAP benefit, regardless of the authorization start date.

I acknowledge receipt of Holistic Mental Healthcare financial policy and agree to be responsible for the payment of all unpaid services rendered to me or my dependents, including any fees for collection services if needed.
